Job Title: Administrative/Personal Assistant to the Director of Operations

Location: West Palm Beach, FL

Type: Full-Time

Salary: $65,000–$70,000 annually, plus full benefits

Position Overview:

A Mediterranean restaurant group in West Palm Beach is seeking a proactive and highly organized Administrative/Personal Assistant to support the Director of Operations. This role is essential in ensuring efficient daily operations, seamless communication, and support across both business and personal tasks. The ideal candidate is detail-oriented, experienced in Microsoft 365, and thrives in a fast-paced hospitality environment.

Key Responsibilities:

  • Provide executive-level administrative support, including calendar management, meeting coordination, and handling correspondence.
  • Prepare and maintain reports, documents, and presentations using Microsoft Excel, Word, and PowerPoint.
  • Coordinate internal communication and serve as a point of contact for external stakeholders.
  • Track and report on operational activities, including data entry and admin reporting.
  • Assist with special projects and coordinate across departments.
  • Manage select personal tasks and scheduling for the Director.
  • Support accounts receivable—invoice entry, payment tracking, and reconciliation.
  • Assist with accounts payable—tracking expenses, preparing vendor payments, and generating aging reports.
  • Uphold professionalism in all interactions and maintain confidentiality.

Qualifications:

  • 2+ years of experience in an administrative support role, preferably in hospitality.
  • Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Strong communication, organization, and multitasking skills.
  • Bonus: Background or degree in accounting.
  • Highly dependable, flexible, and able to adapt to shifting priorities.
